Privacy Policy

1. About this policy

Soft TLS DOO, company registration number 22032941, tax number (PIB) 114533789 ("Soft TLS", "we") develops and runs the Soft TLS application: the website at app.soft-tls.site and the Soft TLS mobile app for Android and iOS. This policy explains what the application does with personal data, who is responsible for it, who else may receive it, how long it is kept and how you can ask about your own data.

Your employer - the company that gave you your account - decides which data goes into the application and why. Soft TLS processes that data on your employer's instructions and for no purpose of its own. In the words of the data protection law: your employer is the controller and Soft TLS is the processor. A question about why your data is in the application, and a request to correct or delete it, is your employer's decision; Soft TLS helps carry it out.

2. How you get an account

An administrator creates your account, and you activate it yourself through a one-time link that lets you set your password. There is no public sign-up and the application is not open to the public. Every account belongs to a company, and you see the data of the company you are signed in to and nothing else.

3. What the application holds about you

Which of these exist for you depends on what your employer uses and on what your work requires.

  • Account and sign-in. Name, e-mail address, username, role and permissions, interface language, and the company or companies you work in. Your password is kept only as a hash, never as readable text. If two-factor sign-in is switched on: the method you use, and the devices you marked as trusted (a token, the device label, the IP address, the browser identification and the expiry date).
  • Personnel records. Employment data, position and workplace, your address (street, city, postal code, country and the period it is valid for), telephone numbers, identity and travel documents, work permits, qualifications, certificates and licences and their expiry dates, training, spoken languages, and equipment issued to you. Where a record requires it, data about a family member (name, relationship, date of birth, and the address where it is part of that record).
  • Health data. Work accident reports, sick leave, and medical examinations - the type of examination, its date and validity, and its conclusion about your fitness for the job. This is a special category of personal data. It is in the application because occupational safety and labour law require the employer to keep it, and it is visible only to the people your employer gives those rights to.
  • Working time. Check-in and check-out, shifts, schedules, absences, holidays and overtime. Where your employer uses a check-in that asks for a location, the coordinates (latitude and longitude) of the place where the check-in or check-out was recorded are stored with it. Where your employer uses a check-in photograph, the photograph taken at that moment is stored with it. A check-in made on a wall terminal also records which terminal and which device it came from. An overtime decision records hours and whether they were paid out or kept as a balance, together with a marker for your employer's payroll - never an amount of money.
  • Work. Work orders and tasks, projects, progress and daily logs, the equipment and resources assigned to you, inspections, and the commercial and partnership records of the companies you work with.
  • Documents and files. Everything you or your employer uploads: documents, certificates, photographs, risk assessments and training material, with the date, the account that uploaded it and the record it belongs to.
  • Examinations and training. Questions, answers, results and the time taken, and - where your employer switches that on - the photographs the examination takes while you answer.
  • Audit trail and logs. Every business change records who made it, when, from which part of the application, and what changed, with the values before and after. Sign-ins, failed sign-ins and sign-outs are recorded with the time, the IP address and the browser identification. Technical error logs may hold the address of the page and the account that met the error.
  • Devices. For notifications: an installation identifier, the platform, the app version and the notification token of each phone you sign in on. For biometric sign-in: the public key of your phone, its algorithm, where the key is kept, the operating system version and the app version.

4. What the application does not hold

  • No wage, salary, hourly rate or any other amount of money for your work. An overtime decision holds hours and a payroll marker only.
  • No video or audio recording of you. An uploaded training video is material, not a recording of a person.
  • No messages, chat or comments between users: the application has no messaging between people.
  • No saved searches, no profiling, no advertising, and no measurement of your behaviour. Soft TLS runs no analytics tool - not in the application, not in the mobile app, and not on this page.

5. The Soft TLS mobile app

The app shows the same pages as the website, in its own window. Beside that it uses these services:

  • Notifications - Firebase Cloud Messaging (Google). So that a notification can reach your phone, Google issues the app an installation identifier and a notification token, and the app sends that token to the site, where it is kept with your account. The text of a notification passes through Google in order to be delivered.
  • Crash reports - Firebase Crashlytics (Google). When the app crashes or stops responding, a report is sent: the place in the program where it happened, the state of the app, the model and the operating system of the phone, and the identifiers Crashlytics itself issues. A report carries no page content, no message text and no account identification. Google keeps a crash report for 90 days.
  • Biometric sign-in. If you switch it on, your phone creates a key pair in its own secure storage. The private key never leaves the phone - neither Soft TLS nor anyone else can read it. The site keeps only the public key, and your fingerprint or face is handled by the operating system and is never sent anywhere.
  • The camera, the location and files. The app asks for these only for the site's own pages: the camera for a photograph or a QR code (the image of a scanned code stays on the phone), the location for a check-in that asks for it, files when a page asks you to attach one. You may refuse each of them in the phone's settings; the page that needs one then says so.
  • What the app does not do. It has no advertising and no advertising identifier, it measures nothing about how you use it, it does not read your contacts, your messages or your other apps, it tracks no location in the background, and it sends nothing to anyone other than the site and the Google services named here.
  • The previous version of the app. Until every phone has moved to the in-house app, the earlier version of the Soft TLS app is still in use. It delivers notifications through OneSignal, which receives an opaque identifier of your account for that purpose and nothing else.

Google and OneSignal act for Soft TLS and for your employer in this, and may use what they receive only to deliver the notification or the crash report.

6. Who can see your data

  • The people in your company whom your employer gives the right to - a manager, a safety officer, a personnel administrator - each only in the part the right covers.
  • A partner company, where your employer sets up a partnership with it, and only the data that partnership needs.
  • Soft TLS support, where it is needed to run the service or to fix a fault, and at your employer's request.
  • A public authority, where the law requires it.

Your data is not sold, is not rented out, and is not handed to anyone for their own purposes.

7. Who processes data for us

  • Hosting - STRATO. The servers are rented from STRATO, whose data centres are in Germany.
  • Google - notifications and crash reports of the mobile app (section 5).
  • OneSignal - notifications of the previous version of the app (section 5).
  • An artificial intelligence provider - only where your employer switches that on (section 8).

Soft TLS sends e-mail itself, so no third party receives the messages the application sends you. A current list of our processors is available at the address in section 16.

8. Artificial intelligence

The application can use artificial intelligence for two kinds of work, and only where your employer switches it on and enters its own key with the provider:

  • Reading a document. A document your employer uploads is sent to the provider so that the data from it can be offered for a form; a person checks and confirms the result.
  • Drafting a safety text. The text of a risk assessment is sent to the provider so that a draft can be offered; a person edits and approves it.

Your employer chooses the provider and the model, from OpenAI, Anthropic, Mistral and Azure OpenAI. The key is kept encrypted and belongs to your employer, so the request is made on your employer's account with that provider. Soft TLS does not use your data to train any model, and no decision about you is made by artificial intelligence: what it offers is a draft a person decides on.

Separately from this, Soft TLS translates the application's own interface with the help of artificial intelligence. That processes the text of the interface - labels, messages, help topics - and no record of yours.

9. Where your data is processed

The application's data stays in the European Union, on the servers in Germany. Google processes the notifications and the crash reports of the mobile app globally, under the agreement it offers for those services. Where your employer switches on artificial intelligence, the chosen provider processes that request where it operates, which may be outside the European Union. Every such transfer rests on the protections the data protection law requires for it.

10. How long it is kept

Data in the application is kept for 10 years, unless your employer's instruction or the law sets a different period for a particular record. The audit trail is kept for the same period, because it is the proof of what happened and who did it. A notification token is kept while your phone stays registered, and is removed when you sign out or uninstall the app. Google keeps a crash report for 90 days.

11. Cookies

The application sets only its own cookies, and only those it needs: the sign-in session, the protection against request forgery, your interface preference, the identifier the mobile app needs for notifications (stls_push, up to 400 days), and - if you use two-factor sign-in and ask for it - the token that marks this device as trusted. There is no advertising cookie, no tracking cookie and no analytics cookie. This policy page itself sets no cookie and loads nothing from any other site.

12. Security

  • Every connection to the application is encrypted (HTTPS).
  • A password is kept as a hash; two-factor sign-in is available, and your employer can require it.
  • A biometric key stays in the phone's own secure storage.
  • Rights are granted per company and per role, and are checked on the server at every step - not only by hiding a button.
  • The audit trail records who changed what and when.
  • A provider key is kept encrypted.

13. Your rights

You have the right to know what data about you exists, to a copy of it, to have an inaccuracy corrected, to deletion, to restriction of processing, to object, and to have your data transferred.

Because your employer is the controller, address your request to your employer, or write to support@soft-tls.com. We answer every request and carry it out together with your employer; where the law requires your employer to keep a record for a period, it is kept for that period, and we will tell you so.

You may also complain to the supervisory authority - in Serbia, the Commissioner for Information of Public Importance and Personal Data Protection.

14. Children

The application is a tool for work. An account is given to an employee or a contractor of a company, and the application is neither intended for nor offered to children.

15. Changes to this policy

A change is published on this page and the date at the top is updated. A change that affects you is also published as a new version of the privacy notice inside the application, which asks you to read and accept it the next time you sign in.
